Running STRS Reports for July and August

When you run the STRS reports for July and August there are a series of questions to answer. How you answer the questions determines what will be put on the report and what will be put in the corresponding file to send to the County.

The system is going to look at the EFFECTIVE DATES of the records to determine what to put in the report (which also builds the DAF file for the county). If the effective dates are prior to 7/1/yy, then they are considered "prior year" or "supplemental".

The employer and/or employee contributions are calculated through GTNs. Currently, the system uses the GTN that is effective on the Pay period end date defined in the Pay Cycle.

The Retirement Period flag on the Pay cycle determines when the retirement will be reported to STRS.

NOTE: Normal arrears pay cycles don't have retirement. We recommend that you don't do manual adjustments on arrears pay cycles (which will create retirement). If you do, you must verify that the retirement data will report the way you want it to. Check the retirement pd flag in the pay cycle to know where the retirement data will report.

Running the Reports

There are two ways to run the July and August reports. Choose one method and be sure to send the correct files to the county.

Method 1

If your district sends 13 reports you will want to run -

July, no supplemental (STRS-x07.DAF)

  1. Do you want to exclude prior year STRS supplemental data? Y
  2. The STRS retirement data exists. Do you want to use this? N
  3. Are you ready to BUILD the retirement data for JUL, YYYY? Y

Send the County the STRS-X07.DAF file.

August, no supplemental (STRS-X08.DAF)

  1. Do you want to exclude prior year STRS supplemental data? Y
  2. The STRS retirement data exists. Do you want to use this? N
  3. Are you ready to BUILD the retirement data for AUG, YYYY? Y

Send the County the STRS-X08.DAF file

Supplemental (STRS-XSP.DAF)

**THIS MUST BE RUN AFTER AUGUST PAY CYCLES ARE LOCKED IN.**

  • Do you want to exclude prior year STRS supplemental data? N
  • Do you want to produce a prior year STRS Supplemental Report? Y
  • The STRS retirement data exists. Do you want to use this? N
  • Are you ready to BUILD the retirement data for MMM, YYYY? Y

    Send the County the STRS-XSP.DAF file.

    Method 2

    If your district sends 12 reports you will want to run:

    July with Supplemental (STRS-X07.DAF)

    1. Do you want to exclude prior year STRS supplemental data? N
    2. Do you want to produce a prior year STRS Supplemental Report? N
    3. The STRS retirement data exists. Do you want to use this? N
    4. Are you ready to BUILD the retirement data for JUL, YYYY? Y

    August with Supplemental (STRS-X08.DAF)
